| Activity | Activity refers to an individual activity or step that need to be completed as part of this workflow. Under this column, you can see all the activities in the process. The form that is configured to the activity is visible under the activity name. You can click on the link to view/modify the form design. |
| Start Activity | The Start Activity refers to the initial step or task that initiates the entire workflow process. It acts as the entry point where the workflow begins its execution. When you select the checkbox next to an activity in this column, that activity will be marked as the start activity, and the workflow will commence with it during execution. You can mark multiple activities as start activities, allowing users to choose the appropriate start activity based on their specific requirements. |
| End Activity | The End Activity refers to the final step or task that concludes the entire workflow process. It serves as the termination point where the workflow completes its execution. When you select the checkbox next to an activity in this column, that activity will be marked as the end activity, marking the conclusion of the workflow. You can mark multiple activities as end activities, allowing for flexible and conditional workflow terminations based on specific criteria or outcomes. |
| Configure Bot / External Activity | Under this column, you can configure external or bot activities. If your process includes bot or external activities, a gear icon will appear next to the activity in this column. Clicking on this gear icon opens a pop-up window with various configuration options. Based on the settings you define here, the activity will be executed automatically. Refer to the following topics to know more. |
| Activity Execution Dependencies | Under this column, you can see a button called Set Activity
Condition(s) to define specific criteria or conditions to
execute the activity. When you click on this button, you will see the following
buttons which helps you define conditions or rules based on different scenarios.
You can use these options according to your requirements to set up the necessary conditions for executing the activity. |
| End Work Rules |
Under this column, you can define specific criteria or conditions under which a workflow process should be terminated. This feature offers flexibility in managing how and when a workflow concludes, based on various scenarios or outcomes. By clicking the Define Rules button in this column, a pop-up window will appear where you can set up the rules by clicking the Add Rule button. For more information, refer to Configure End Work Rules section. |
| Conditional Work Reassignments |
Under this column, you can define rules to automatically reassign tasks or work items based on specific criteria or conditions. This feature provides flexibility in managing task distribution and ensures that work is assigned to the appropriate individuals or teams based on predefined rules. You can see the Set Rule(s) button. When you click on this button, a pop-up window will appear where you can define rules for reassigning the entire work. By enabling work reassignment, you will have the option to either always reassign the work to the manager of the selected employee or to reassign it based on specific conditions. | Allocation Rules |
Allocation rules enable the automation of activity distribution and sharing within a process. In this column, you will find a bulb icon. Clicking on this icon will open a pop-up window where you can configure automatic activity allocation options, including allocating tasks to immediate managers, employees performing other activities, specific employee groups, or sending invitations to employees. These rules help ensure that tasks are assigned and managed efficiently, streamlining workflow operations. For more information, refer to Configure Auto Allocate Work Actionssection. |
| Next Activity | In this column, you can define the next activities to be performed after
completing the current activity. Under this column, you will see a pencil icon.
When you click on this icon, a pop-up window will appear where you can select
the next activities to execute following the completion of the current activity.
You can choose multiple subsequent activities and set conditions for their
execution. For more information refer to Configure Action Conditionsection. |
| Next Work Processes | In this column, you can define the next processes that should follow the completion of the current workflow. You will see a pencil icon. Clicking on this icon will open a pop-up window where you can select the next processes to be triggered. You have the option to choose multiple processes and specify conditions under which these processes should be initiated. |
